Email [email protected] with your name, invoice number and rental dates. Notice is measured from when we receive your email to the agreed handover time, using Mountain Time. Ask for written acknowledgment if you do not hear back. Date changes depend on availability and must be agreed in writing; otherwise the original reservation remains in place. Removing items follows the same cancellation schedule, and remaining items may lose a package discount.

Any amount paid above the applicable cancellation charge is refunded. Delivery and setup charges for services not performed are refunded, except separately quoted, documented third-party costs you approved as nonrecoverable. Applicable taxes are adjusted as required. If the same equipment is re-rented for the same period, the cancellation charge is reduced by the net rental revenue recovered, without a double recovery. We initiate eligible refunds to the original payment method within 5 business days of confirming the amount; your bank or payment provider may take longer to post them.

If we cancel an item before handover because we cannot provide it or determine that the site or weather makes its use unsafe, all payments for that item and its unused related services are refunded. You may choose an available replacement date instead. If unsafe conditions require us to stop tent use after handover, we refund the unused portion of the affected rental period. Other equipment that can still be supplied safely remains reserved unless separately canceled. A customer cancellation for forecast rain or a change of plans follows the standard schedule unless we determine tent use is unsafe.

Inspect the equipment at handover and promptly report damage or missing parts. Return all items on time, clean and in the condition received, allowing for ordinary wear. You are responsible for documented loss, damage or extra cleaning caused while the items are in your care, excluding ordinary wear, pre-existing faults and damage caused by 4 Spear. Any additional amount is itemized; this page does not authorize automatic card charges. Extensions require written approval and may incur an agreed additional rental charge.

Follow the manufacturer’s instructions and the handover safety briefing. Do not move or alter an installed tent, remove anchoring, climb or bounce on it, or use open flames, heaters or cooking equipment inside or next to it without express approval. Keep exits clear. A tent is not a storm shelter: stop use and seek a safe permanent shelter in lightning, high winds or other unsafe conditions. Tent setup, anchoring, power needs and operating limits must be confirmed for the actual equipment before handover.
